Sending an Encrypted Email with Atom Supported EMS Tools

As part of being an Atom IT supported school and opting for the EMS solution you can now send an encrypted email with ease, either through Outlook or the web version of Outlook (OWA – Outlook Web Access)

Using the full version of Outlook

If you do not wish your email to be forwarded by the recipient or copied and printed then select the ‘Do Not Forward’ button

The recipient will receive the email within a safe Office 365 environment that limits their rights to the email and its contents.

Note:- Any attachments to the email must be labelled as ‘Email’ or ‘Standard’ for an external recipient to be able to open them. See the ‘Labelling your documents using the GDPR Bar‘ post for more information.

Encrypt only – with the full version of Outlook

The encrypt only option allows the recipient to copy, forward and print the email but the email itself is encrypted. If the recipient forwards the email it remains encrypted.

Simply enter the phrase [encrypt] into your subject line, you must include the square brackets. Once sent you will see a red icon next to the email in your sent items folder.

Encrypting Emails with OWA (Outlook Web Access)

OWA comes with a new option called ‘Protect’ which appears when you compose a new email

Clicking ‘Protect’ has the effect of applying the ‘Do Not Forward’ rule. Your recipient will be unable to forward, copy or print your email.

If you wish to change the email to ‘Encrypt’ only then click ‘Change Permissions’, which appears above your email, and select ‘Encrypt’. The encrypt only option allows the recipient to copy, forward and print the email but the email itself is encrypted. If the recipient forwards the email it remains encrypted.
